The Tournament Assistant provides operational and administrative support to the Tournament Department to ensure the successful planning, coordination, execution, and follow-up of tournaments, corporate outings, and special events hosted at Granite Ridge Golf Club.

This position plays a key role in maintaining strong client communication, supporting event logistics, coordinating internal operations, and delivering a high standard of guest experience throughout the golf season. The Tournament Assistant is expected to operate in a fast-paced environment while maintaining exceptional attention to detail, professionalism, organization, and communication standards.

Job Summary
  • Assist with the coordination and execution of golf tournaments, corporate outings, leagues, and special events
  • Prepare tournament documentation including cart signs, scorecards, player lists, rules sheets, signage, and event packages
  • Maintain accurate tournament files, deposits, contracts, and event records
  • Assist with invoicing, payment tracking, and post-event reconciliation processes
  • Respond to tournament and event inquiries in a professional and timely manner
  • Support tournament booking processes and assist with departmental scheduling and logistics
Responsibilities

Operational Support

  • Coordinate with The Albatross Restaurant, Pro Shop, Back Shop, and Maintenance departments to ensure event readiness
  • Assist with golf cart staging, registration setup, on-course contest preparation, and event execution
  • Monitor event timelines and assist in resolving operational issues throughout the day
  • Support setup and take down requirements for tournaments and special events
  • Ensure tournament materials and operational areas remain organized and presentable

Guest Experience & Communication

  • Deliver a high level of customer service to tournament organizers, sponsors, guests, and vendors
  • Professionally greet tournament participants and assist with registration and event coordination
  • Maintain strong communication with internal departments to support seamless operations
  • Handle guest concerns and operational challenges in a calm and professional manner

Administrative Duties

  • Assist with data entry, reporting, filing, and departmental administrative tasks
  • Maintain accurate records within booking systems, spreadsheets, and internal documentation
  • Support the preparation of tournament summaries, operational reports, and departmental tracking tools
  • Assist with social media or promotional content related to tournaments and events when required
Qualifications
  • Minimum 1–2 years experience in golf operations, event coordination, hospitality, or administrative support
  • Strong organizational and time-management skills
  • Exceptional attention to detail and accuracy
  • Professional verbal and written communication skills
  • Ability to multitask and perform effectively in a fast-paced environment
  • Strong customer service and interpersonal skills
  • Ability to work independently while contributing positively within a team environment
  • Proficiency with Microsoft Office programs including Excel, Word, and Outlook
  • Experience with golf booking systems or point-of-sale systems is considered an asset
  • Ability to work flexible hours including evenings, weekends, and holidays during peak season
  • Ability to stand and walk for extended periods
  • Ability to lift and move tournament materials and supplies when required
  • Ability to work outdoors in varying weather conditions throughout the golf season
Compensation
  • Position may be structured as either a seasonal full-time role or a full-time year-round opportunity depending on operational requirements and candidate qualifications
  • Compensation: $40,000 – $50,000 annually full-time or $20 – $24 per hour seasonally, depending on experience and qualifications
