As the Education Administrator, it is my job to help guide all Candidates for Membership (CFM’s) through their educational requirements and the process of becoming a Class “A” member.

For the most part, this past year has been quite a big learning experience for me, and many of the jobs I’ve been doing during this time I’ve been handling on my own—for the first time.

To be honest, I am not much of a “blog writer,” so I figured with the evaluation deadline approaching on November 30th, it was only appropriate to write a “Frequently Asked Questions” post.

It’s my hope this will help any CFM’s with questions or concerns they may have regarding their upcoming evaluation deadline. From what I have experienced so far, these are the questions I get asked most often:

Q: I joined the PGA of Canada this year, in 2014. Does this evaluation deadline apply to me as well?
A: No, as a 2014 Candidate for Membership you do not have anything due this year. You are given the remainder of the year you joined, plus the next full year after that before you have any deadlines to meet. If you joined the PGA of Canada in 2014, you will have two deadlines to meet by 2015—your Instructor of Beginner workshop, and one golf module.

Q: I am currently completing my Instructor of Beginner Golfer’s evaluation package, what exactly do I need to complete and submit by the deadline?
A: You need to complete and submit three different components:
1. Portfolio
2. Video
3. MED Evaluation


Q: I am currently completing my Instructor of Intermediate Golfer’s evaluation package, what exactly do I need to complete and submit by the deadline?
A: You need to complete and submit two different components:
1. Portfolio
2. Video


Q: Does my portfolio and video have to be evaluated and passed in order for me to meet the deadline?
A: No, as long as you have all components complete and submitted by November 30th, you will meet the evaluation deadline and your status will not go to “inactive.” They do not been to be evaluated by this deadline.

Q: What happens if I am required to do any re-submits for either my portfolio or video? Will I still meet the evaluation deadline?
A: Yes, as long as you have everything submitted (for the first time) by November 30th, you will meet your evaluation deadline—whether you have to resubmit anything later on or not.

Q: How do I send in my video and where do I send it to?
A: Your video must be saved to a CD, DVD or USB Flash Drive and sent to me (ATTN: Brittany Mullin) here at the National Office. The address is: 13450 Dublin Line, Acton, Ontario, Canada, L7J 2W7. Please be advised that I must have a hard copy IN MY HANDS by November 30th, no later. It is your responsibility to make sure it arrives here on time. It is advised that you get a shipping/tracking number when you mail the video, so that you are able to track the status of its arrival. We are not responsible for lost or stolen videos.
 
Q: Can I mail you a hard copy of my portfolio?
A: No, we do not accept hard copies of portfolios. Your portfolio must be uploaded and submitted online through the members’ side of the website under “My Evaluations”. There are specific templates there that you are required to fill-out and use. Under no circumstances will hard copies be accepted.

Q: Due to the cold weather, our course is now closed for the season and I am no longer able to film my video outside. Am I allowed to film it indoors at a practice facility?
A: Yes, you are more than welcome to film your video inside. Please be advised that we must be able to hear you speaking clearly and properly. Filming indoors may result in loud echoes and background noise/talking that may be disruptive to the filming and clarity of your lesson. If the evaluator cannot hear the lesson clearly, you may be required to re-film and submit another video at a later date.

Q: With less than a month before the evaluation deadline, do I have to wait until my portfolio is evaluated and successfully passed before I can film my video?
A: No, you do not need to wait for your portfolio to be approved. Due to the last minute time crunch, and only a couple weeks left to submit all of your work, I would suggest filming your video (if you haven’t already) and send it to me as soon as possible.
